Every output, every transaction executed, even the smallest material movement generates a document. After the initial implementation the database starts rapidly to grow.\u00a0 Archiving comes to mind first, when the database bloats or the growth rate is very high. Usually also the users complain about long response times.<\/p>\n<p>The word &#8216;archiving&#8217; raises resistance and fear for loss of data. SAP has taught the users to think that all data since the beginning of history is available. A <span class=\"tw-bilingual-translation\" lang=\"en\">prerequisite<\/span> for a successful archiving project\u00a0is\u00a0to convince the\u00a0users that archiving does not mean deleting data.<\/p>\n<p style=\"text-align: center;\">SAP Data archiving\u00a0removes data from the data base. Data Archiving deletes old accounting documents, sales orders, deliveries, invoices and writes them to\u00a0archives. Document archiving means\u00a0storing inbound and outbound documents (invoices,\u00a0delivery notes etc.) in archive.\u00a0\u00a0Print List Archiving writes SAP reports (e.g. financial statements) to archive.<\/p>\n<p>Document Archiving and Print List Archiving do no remove anything from the database.<\/p>\n<h3>1. Data Archiving<\/h3>\n<p>The data removed from the database\u00a0is first written to archive files in the SAP system and\u00a0then stored to archive system. The system knows, \u00a0where the data is\u00a0and\u00a0can still\u00a0Access it. How and in which form \u2013 that is something the users need to\u00a0learn\u00a0 during the archiving project.<\/p>\n<p><a href=\"https:\/\/www.esfoor.fi\/en\/wp-content\/uploads\/sites\/3\/2016\/05\/Archiving-Process.png\" rel=\"attachment wp-att-355\"><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-355\" src=\"https:\/\/www.esfoor.fi\/en\/wp-content\/uploads\/sites\/3\/2016\/05\/Archiving-Process.png\" alt=\"Archiving Process\" width=\"837\" height=\"394\" srcset=\"https:\/\/www.esfoor.fi\/en\/wp-content\/uploads\/sites\/3\/2016\/05\/Archiving-Process.png 837w, https:\/\/www.esfoor.fi\/en\/wp-content\/uploads\/sites\/3\/2016\/05\/Archiving-Process-300x141.png 300w, https:\/\/www.esfoor.fi\/en\/wp-content\/uploads\/sites\/3\/2016\/05\/Archiving-Process-768x362.png 768w\" sizes=\"auto, (max-width: 837px) 100vw, 837px\" \/><\/a><\/p>\n<h3>2. Document Archiving<\/h3>\n<p>Document archiving stores original documents and links them to SAP\u00a0transaction data.\u00a0Examples of such documents are scanned invoices, delivery notes, purchase orders\u00a0etc.). It is also possible to\u00a0create and store\u00a0the documents directly from SAP transaction (billing, delivery, purchasing). \u00a0Different SAP methods are used for this (Archive Link, Generic Object services, DMS, Records Management). Print List Archiving<\/h3>\n<p>Print lists are the result of report runs in the SAP System, for example, accounting reports. These can be stored in the archive system. The reports are printed normally to spool.
